Abstract
The charity organization in order to execute their transactional operations, have to dwell themselves, mostly in fund raising scenarios .One of the most critical standard in running a charity organization is raising the required funds, that are practically necessary in conducting the associated social service. The major hurdle that is practically executed in running a charity system is identifying the donars who have been regularly funding charity organization for different purposes. Whenever the request for a new fund arises the authorities within the system have to make extensive search for finding the right donars for that specific charity request. Allmost all it is highly time consuming, for establishing the detailed list of all the donars, who have come forward previously for funding the charity requests. In order to keep the required information in a consistent way and to achieve reliability upon the collected data, a software system becomes necessary. The fund raising sequence may also need, the information maintenance of the dependents of the donars also becomes necessary. The information management of clients who actually raised the list of fund requests also should be maintained for future reference upon the system. The system once developed keeps the overall relations intact and makes the applicable data to be available at any part of the systems execution. The standard of data authenticity and availability becomes more faster.
The project has been planned to be having the view of distributed architecture, with centralized storage of the database. The application for the storage of the data has been planned. Using the constructs of MS-SQLServer2000 and all the user interfaces have been designed using the ASP.Net technologies. The database connectivity is planned using the “SQL Connection” methodology. The standards of security and data protective mechanism have been given a big choice for proper usage. The application takes care of different modules and their associated reports, which are produced as per the applicable strategies and standards that are put forwarded by the administrative staff
Scope of the project
WA's main clients are Charities from all around the world. Many of them are based in the UK. Charities would contract WA to raise funds for a specific programme. WA charges a fixed fee based on the overall effort of the assignment and the duration for which it lasts. In case Media advertisements are involved, the client pays separately for such costs.
1.When a Charity (or a Non-Governmental Organization) signs up with WA, its expectation is that WA would use its expertise to raise funds for its programmes. For a charity a programme is a focused effort which addresses a need among a set of beneficiaries. To run such a programme, there is need for infrastructure, proper rooms for staying, a canteen that serves them food, a clinic that takes care of their health and so on. To do all that, the Charity needs to raise adequate funds to get the programme started and also to maintain the programme over a long period of time.
2.The Client first briefs a WA Account Manager on the full details of the programme. The Account Manager may even visit the site, talk to a few beneficiaries and get a complete picture of the programme. Other than the description and qualitative aspects of the programme, the following information is collected:

  • Total number of beneficiaries
  • Nature of impact (descriptive)
  • Duration of the programme
  • Total Costs of the programme
  1.          Infrastructure Costs
  2.         Running Costs
  • Funding target for the proposed campaign
  • Specific aspects of costs to be covered by funding (if applicable)
3.Once there is clarity on the purpose of the programme and the requirements for funds, the Account Manager briefs an internal Account Planning team using a standard briefing format. Achieving the Funding Tarter is the primary goal for the Planning team.
4.At this point in time, the Planning team initiates an extensive information search on the kind of donor audiences that would view the specific programme favorably. Profiles of specific donors are compared based on their socio-economic background. For example, it may come out that young upwardly mobile executives are more likely to fund cases relating to the elderly. Or that elderly retired Military personnel are more likely to fund child welfare programmes and so on. The way in which such inferences are made is by running a series of correlations on Donor profile parameters and previous funding history. The current database has details of more than 4000 donors spread across UK and Europe although most of it is in unstructured form.
The main profile parameters for Donors are the following:
  •     Age. Sex
  •     Occupation
  •     Categorization of occupation
  •     Annual Income
  •     Retired/In service
  •     Married/Single
  •     No of children, age of children
  •     Physical/Mental disabilities if any
  •     Previous Donation history
5.Once the Planning team establishes the right target audience, the team formulates what is termed the Campaign. A Campaign is a focused effort formulated in response to a Programme funding requirement of a client. The Campaign is the culmination of strategy development and it outlines the following:
  • The Programme objective
  • Funding Target
  • Period for the campaign (start and end dates, or start date and ongoing)
  • The target segment (one or more combinations of donor profiles)
  • Type of "Ask"
  • Media Choices for the campaign and associated cost budgets.
  1.      Newspaper advertisement with coupon
  2.      Direct Mailer
  3.      Direct Mailer with pre-paid reply envelopes
  • Database addresses to be linked to Direct mailer choices
6.A Campaign may involve a media advertisement which announces the programme and requests the reading audience to donate money through cash, cheque or credit card. When such donations come in, if the names are new, then these names need to be included in the internal database and recorded as collections against the specific Campaign. Alternatively, if a Direct Mailer is used, then the addresses to which the Mailer has to be sent is selected from the Database profiling that is carried out in the planning stage.
7.There is a creative process involved in developing concepts for communication, ad design, brochure design and so on which is outside the purview of the proposed system.
8.A close watch is maintained on the collection after the Campaign is released. The Account Manager constantly compares the Target Funding amount to the amount collected so far. The client also needs to be kept informed of progress.
9.A Campaign's effectiveness is judged by the following:
  •     Has the Funding target been achieved by the targeted date ?
  •     Has the Funding target been achieved within the budgeted costs ?
The entire system is divided into 3 major modules
Ø  Donor module
Ø  Clients module
Ø  Administrators module
Donors module: This module manages the details of all the donors who have come forward to participate in the charity funding. It also integrates itself to the charity request expenditures, and the charity clients information. This module also manages all the transactions and operations that relate to the donars.

Clients module: This module manages the details of all the clients   who got registered onto the system; for the request of a charity fund. It gets integrated with the standards of   mail management that exists that exists upon the system. The clients also integrate themselves with the benefecieries who are targeted upon the charity fund that is raised for the purpose.                                                                                                                                         
Administrative module: This module takes the overall responsibility upon the systems transactions and operations. The administrative module takes the sole responsibility of managing the reliability and consistency of the data. The system takes care of the data collection, updation and deletion of the actual data at the centralized level.
 Existing System
Present system is manual. The Project Metrics has to enter all the details of project, documents, and tasks. It also maintenance the team information and also efforts estimation. For this purpose the organization maintain the size of the document, source code and update the information about team member’s details   manually. Which is much of time consuming process and more importantly it is error prone. Limitations Of the Manual system

Hence Computerization of the existing system is proposed. The new system completely removes all manual burdens and provide efficient on the entry system.

After understanding the existing system and understanding the need for developing a new system different people involved in the related activities have been consulted. The data needed for the study has been collected from company records.
The computerization of this system would avoid the wrong interpretation and bad calculation of data .The system help the user to see any documents, source code, tasks, activities, team information with details at the click of a button. The record data is maintained and backed up such a way that data is not loss. The speed of the system could also increased.
